1Who We Are

Soul Remembrance ("we", "us", "our") operates the Soul Remembrance mobile application. We are the data controller responsible for your personal data.

2Data We Collect

• Account data — your name, email address, and profile photo when you sign in or create an account.
• Practitioner profile data — professional title, bio, location, modalities, hourly rate, qualifications, and subscription status.
• Booking & payment data — session dates, amounts, and Stripe payment tokens. We do not store full card numbers.
• Messages — conversation content between you and practitioners or clients, stored in Firebase Firestore.
• Location — approximate city/region you provide manually; GPS is used only locally to sort nearby practitioners and is never stored on our servers.
• Usage data — standard app diagnostics via Firebase which may include device type, OS version, and session length.

3How We Use Your Data

• To provide and personalise the Soul Remembrance service.
• To process bookings and payments through Stripe.
• To connect clients with practitioners.
• To send service-related notifications such as booking confirmations and reminders.
• To improve app performance and fix bugs via Firebase Analytics and Crashlytics.
• To comply with legal and regulatory obligations.

4Legal Basis (GDPR)

We process your data under the following legal bases:

• Contract — processing needed to fulfil your bookings or subscription.
• Legitimate interest — security, fraud prevention, and improving our service.
• Consent — optional features such as location sorting and marketing communications. You can withdraw consent at any time in Settings.
• Legal obligation — retaining financial records as required by law.

5Third-Party Processors

We share data only with trusted processors:

• Google / Firebase — authentication, database (Firestore), file storage, and analytics. Data is processed under Google's Data Processing Agreement.
• Stripe — payment processing and practitioner payouts (Stripe Connect). Stripe is PCI-DSS Level 1 certified.

We do not sell your data to any third party for advertising purposes.

6Data Retention

We retain your account and profile data for as long as your account is active. If you delete your account:

• Your profile is removed from the app within 30 days.
• Financial records are retained for 7 years to meet legal obligations.
• Backups may retain data for up to 90 days before being purged.

7Your Rights (GDPR)

• Right to access — request a copy of the personal data we hold about you.
• Right to rectification — ask us to correct inaccurate or incomplete data.
• Right to erasure — request deletion of your data, subject to legal retention obligations.
• Right to restriction — ask us to limit how we process your data.
• Right to data portability — receive your data in a structured, machine-readable format.
• Right to object — object to processing based on legitimate interest or for direct marketing.
• Right to withdraw consent — where we rely on consent, you can withdraw it at any time.

8How to Exercise Your Rights

Email us at soulremembrance@outlook.com with your request and we will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office at ico.org.uk.

9Security

We use industry-standard security measures including Firebase Security Rules, HTTPS/TLS for all data in transit, and Stripe's PCI-compliant infrastructure for payment data.

No method of transmission or storage is 100% secure, but we are committed to protecting your data.

10Children

Soul Remembrance is not intended for users under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us and we will delete it promptly.

11Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via the app or by email. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
